Summary

The Director of Retail Operations reporting directly to the CEO, is responsible for overseeing all operations of a team while providing clear direction to achieve company initiatives. Additionally, the Director of Retail Operations implements and maintains the policies and procedures of the company and ensures compliance with all state and local laws and regulations.


Key Responsibilities

  • Observing and participating in patient services on sales floor, including staff productivity and patient engagement.

  • Performing random Audit of patient intake forms, for accuracy and completion.

  • Executing and maintaining compliance of all local and state regulations.

  • Maintaining accountability of all team members, in relation to specific job description.

  • Reviewing weekly schedules to ensure there is proper floor coverage, based on business needs.

  • Upholding all company policies and procedures.

  • Interfaces with department heads weekly to discuss inventory management, policy and security updates and other dispensary needs.

  • Performing random audits of cash balancing and product inventory, at each location.

  • Reviews bi-weekly payroll budget, at each location.

  • Providing Cultivation team with feedback on inventory levels and sales trends on a weekly basis.

  • Responsible for approving and processing all Dispensary Manager time-off requests.

  • Auditing and ensuring that all patient advisors and pharmacists maintain proper record keeping such as patient intake forms, cash handling

  • Utilization of KPIs/metrics, tools, reports and review cadence to make transparent operating performance, facilitate visibility and closed loop learning (e.g., training) that result in improved reliability, capacity, efficiency, productivity, uptime and safety.

  • Develop operational dashboards to report on performance across all retail locations.


Training & Development

  • Providing training and development to ensure all Dispensary Managers are proficient and training patient advisors to greet with a helpful, pleasant and compassionate attitude, making every interaction a positive experience.

  • Recruiting, interviewing and hiring all Dispensary Managers.

  • Provide training for Dispensary Managers on HIPAA and confidentiality requirements.

  • Providing training and development to all Dispensary Managers to ensure proficiency in MJ Freeway inventory management and point of sale platform.

  • Participating in weekly conference calls with Dispensary Managers from all locations.

  • Ensuring that all Dispensary Managers are trained and current on product knowledge and proper dosage.

  • Ensuring that all Dispensary Managers are maintaining current company policies and procedures as well as all state and local laws and regulations.

  • Performing Dispensary Manager Core Competency evaluations quarterly.

  • Performing Dispensary Manager annual performance evaluations.

  • Executing Dispensary Manager and staff performance counseling, when needed.

  • Attend weekly touch bases with Dispensary Managers to discuss short term objectives/action items and long-term strategic goals.

  • Reviewing patient educational materials.

  • Developing Dispensary Managers for Individual Development Plans (IDP).

  • Attends quarterly team meetings.

  • Setting up succession planning program.


Driving Business/Sales

  • Ownership of P&L for retail operations.

  • Setting monthly sales goals, for each location.

  • Ensuring that all team members are trained on patient services, including patient intake, product knowledge and proper dosage

  • Ensuring the best customer experience.

  • Reviewing sales and best practices to achieve goals, with Dispensary Managers.

  • Overseeing all team members are trained on patient services, including patient intake.

  • Assessing Dispensary Managers skills to lead the floor, as well as delegate tasks and drive sales.

  • Overseeing and reviewing patient loyalty and retention.


Company Culture

  • Being a brand ambassador and training team members to represent the brand appropriately.

  • Building relationships with community leaders and trust from our neighbors.

  • Following and implementing corporate core values, including respect, diversity, sustainability, research and service.

  • Ensuring that all team members are adhering to corporate cultural principles.

  • Overseeing maintenance of aesthetic according to corporate brand, including music selection and daily cleanliness.

  • Fostering a highly motivated team environment.

  • Developing, Implementing brand sales marketing strategies.

  • Controlling and Preventing Loss

  • Ensuring that all General Managers are proficient in cash balancing and product protection.

  • Oversees monthly physical inventory, at each location.

  • Ensuring that all team members train with Director of Security for prevention of diversion of cash and/or product, within the first month of hire.

  • Conducting random audits of cash and/or product, using audit checklist.

  • Reviewing security procedures and protocols with management team, at each location.

  • Reviewing incident reporting, with management team.

  • Ensures that all locations are conducting self-compliance audits monthly.

  • Executing monthly product inventory.

  • Ensuring daily balancing or cash and product are being done according to company and DPH policies.

  • Reviewing Loss Prevention (LP) procedures with General Manager, on a quarterly basis.


Minimum Qualifications:

  • 10+ years retail experience.

  • High capacity for leadership and vision. Sharp general business acumen and commercial orientation.

  • Strong analytical abilities and track record of data-driven decision making.

  • Ability to thrive in a fast-paced, collaborative, hands-on, high growth entrepreneurial environment.

  • Demonstrated ability to build and manage a high performing team.

  • Experience in specialty retail, retail tech, and/or regulated marketplace.

  • Bachelor’s degree in business or similar concentration preferred.

  • Ability to track and analyze initiatives and performance to ensure we meet and/or exceed our revenue goals.

  • An effective manager with strong execution skills that is entrepreneurial, astute and has a passion for getting into the details where appropriate to make effective decisions and drive results.

  • Big picture thinker, strategic, but able to distill functions and business interactions into the tactical/detailed process and workflow in order to drive improvement and efficiency gains.

  • Effectively demonstrate analytical skills, change management and financial acumen.

  • An effective and persuasive communicator with outstanding presence, presentation and negotiation skills that constantly strives for simplicity and clarity.

  • Strong leadership, team member and staff/team development and motivation skills.

  • Able to travel, as needed, including weekends where necessary to drive production.

  • Excellent presentation skills and strong written and verbal communication skills required.

  • Must be 21 years old.

  • Must possess a valid driver’s license and reliable transportation.


Physical and Environmental Requirements:

  • Ability to work a minimum of 8 hours a day and rotating shifts;

  • Flexible schedule availability including nights, weekends and holidays;

  • Ability to lift, push, and pull 50 pounds;

  • Ability to sit, squat, bend, and kneel repetitively throughout a work day;

  • Ability to stand for extended periods of time;

  • Ability and willingness to work in the following conditions:

  • General office environment;

  • Extended computer usage;

  • Extended phone usage including teleconferences, and

  • Work environments that include exposure to, but not limited to, fumes, dust, odors, heights, indoor AC, no AC, motion, and noise.
