Cannabis Laboratory Executive Assistant/Purchaser

Essential functions:

  • Greet and welcome all visitors, staff and general public in a friendly, courteous and professional manner; promptly answer and or transfer all telephone calls and take complete, accurate messages; distribute messages and incoming faxes and web inquiries.
  • Sort and distribute in-coming mail; prepare and process outgoing mail, including certified mailings, express packages. Bulk mailings, emails, etc.; assist with mailing of marketing information and coordinate community wide emails/mailing as needed, preparation of letters, memorandums, and other projects as necessary.
  • Maintain and reconcile petty cash and monitor outgoing monies from petty cash; monitor use of company credit card including collection of credit card receipts; distribute and log accounts payable invoices for payment processing.
  • Collection of customer payments and preparation of bank deposits, including contacting responsible parties regarding missing payments.
  • Maintain an organized, clean front office and lobby areas; maintain and monitor use of laboratory security badges; maintain community master key box and log of all laboratory keys.
  • Inventory and purchasing of office and janitorial supplies, marketing materials and promotional products, printed forms and packets.
  • Monitor vendor liability policies and obtain current proof of insurance when expired.
  • Become familiar with location of laboratory’s Disaster Manual, Safety Data Sheets (SDS).
  • Work with other employees, departments and stockholders to assist in areas as deemed necessary to support all aspects of overall operation.
  • Obtain approval from requisitioning department for necessary laboratory purchases.
  • Prepares purchase orders by verifying specifications and price; obtaining recommendations from suppliers for substitute items.
  • Shop for best available deals on needed items by looking up multiple vendor and suppliers to find the highest quality items for the lowest price.
  • Purchase items from vendors and suppliers and continually monitor and expedite orders as necessary.
  • Organize and maintain organization of digital and paper filing as needed to record purchases made and all other relevant information.
  • Track incoming shipments, verify, organize and file packing slips with PO’s and purchase requisition forms.
  • Build solid relationships with customers, vendors and distributors.
  • Assessing supplier and vendor operations and recommending improvements as needed.
  • Work in conjunction with the Director of Finance on accounts payable and accounts receivable.
  • Communicate with laboratory personnel on delivery updates.
  • Monitor inventory of consumable and set up reordering reminders to ensure the laboratory has all supplies necessary to perform testing.
  • Assist with Sample accessioning as needed in the laboratory.
  • Communicate with Field Technician to help maintain laboratory’s sample pick up schedule. Communicate any scheduling concerns and or problems with the Laboratory Director.
  • Excellent attendance, timeliness in reporting to work, and discussion of all absences, illnesses and injuries with the Director of Business development.
  • Perform all other related duties as assigned.

JOB REQUIREMENTS

Knowledge/Skills/Abilities:

  • Proficient in all Microsoft Office applications, internet and software applications and ability to use multi line telephone system.
  • Excellent analytical, problem-solving, and decision-making skills.
  • Effective communication and negotiation skills.
  • Strong accounting background.
  • Detail-oriented, good organizational and prioritizing skills including ability to meet deadlines, solve problems, act independently and carry out oral and written instructions.
  • Ability to work under pressure, plan personal workload effectively.
  • Ability to multi-task and work in a fast-paced, changing, and challenging environment.
  • Superior oral and written communication skills.

Competencies (“soft skills", traits, behaviors):

  • Self-motivated, shows initiative, results oriented, creative thinker, detail oriented, focused on continuous development, effective time-management skills.

Education/Experience:

  • 4 year Degree from accredited college/university in a relevant discipline
  • 2+ years of Office Management/Purchasing Experience
